Communications — The Most Used PM Skill

Research shows project managers spend 90% of their time communicating. Poor communication is a primary cause of project failure.


Communications formula:

Number of communication channels = n(n−1)/2

Where n = number of stakeholders

5 people: 10 channels; 10 people: 45 channels; 20 people: 190 channels

This is why large teams need communication plans, not ad hoc messaging


Communications Management Plan includes:

Who needs what information

When they need it

How it will be delivered (email, meeting, report)

Who is responsible for communicating it


Communication types:

Formal written — contracts, charters, project plans

Formal verbal — presentations, formal meetings

Informal written — emails, texts, instant messages

Informal verbal — conversations, hallway discussions


Push vs. Pull vs. Interactive:

Push — send to recipient (email, report) — no confirmation received

Pull — recipient retrieves (portal, wiki, shared drive)

Interactive — real-time exchange (meeting, phone call) — most effective for complex issues
